Gear Patrol uses Osano to secure user trust and put a stop to the compliance fire drills through smart automation and streamlined workflows.

  • No More Tedious, Spreadsheet-Driven DSARs: Automated subject rights workflows let the team reserve their time and focus for strategic work.
  • Confidence in Compliance: Simplified, guided solutions allow any Gear Patrol team member to manage privacy tasks without fear of accidental non-compliance.
  • Operationalized Regulatory Insights: Osano distills regulatory updates and bakes them into the platform's design, supporting Gear Patrol in the time-consuming and complex work of tracking and analyzing regulations and translating their requirements into design.
  • Tailored, Straightforward Implementation: Gear Patrol's ad-tech-heavy ecosystem required a thoughtful approach to implementation. Osano's experts provided guidance and customization, ensuring Gear Patrol was up and running without a drawn-out or incomplete implementation.
  • User Trust, Enabled: Gear Patrol is now able to give customers full and transparent control over their data, enabling a level of trust that wasn't possible before.

When Gear Patrol set out to become the internet’s definitive resource for discovering the best gear, it knew that user trust would be essential for success. With over 5.5 million monthly readers, all putting their faith in Gear Patrol to identify the best products for their needs, the stakes couldn’t have been higher.

They had a reputation for insightful product reviews and storytelling, but like any digital publication, they operated within an ad-tech-heavy ecosystem that runs on user data. Gear Patrol needed to ensure its readers knew that it was more than just a trustworthy source of product reviews; it was a trustworthy steward of consumer data, too.

Maintaining customer trust required more than good intentions—it demanded a modern, scalable privacy program that backed up their consumer-centric values.

That conviction put Caitlyn Shaw, Director of Growth Strategy and Development and the brand’s de-facto privacy advocate, on a mission to modernize privacy operations.

The Privacy Challenge at Gear Patrol

From Manual Fire Drills to Modern Automation

What used to take 15–20 minutes per request and be a mini-fire drill is now streamlined and manageable.

Before Osano, every data subject access request (DSAR) triggered what Caitlyn described as “a mini-fire drill.” She’d drop her daily tasks and begin chasing down data. Over the course of weeks and months, this translated to hours of time spent responding to subject rights requests.

The time was one thing; the disruption to the flow of her work was another. Timely and accurate responses to DSARs were urgent, making it challenging to prioritize important projects and conduct deep work.

What’s more, Gear Patrol was working with limited resources and no dedicated privacy team. This added further challenges—Caitlyn and her team needed to track ever-evolving regulations and best practices to ensure they were staying compliant. It felt impossible to keep up with the requirements for laws like the GDPR, CCPA, and other US state privacy laws. Each of these jurisdictions has different requirements around data subject rights, making it difficult to ensure rights were administered appropriately across Gear Patrol’s geographically diverse readership.

A Comprehensive Privacy Solution That Evolves with the Law

Automating and simplifying DSARs was a game-changer for us. Even as our business needs and roadmap have changed, we’ve remained committed to Osano because the platform continues to deliver the reliability and comprehensive features we need to stay compliant and efficient.

While vetting data privacy software solutions, Caitlyn looked for a solution that would automate their DSAR process and cookie consent management, consolidate data management in a single platform, and stay up to date with current regulation.

“We initially chose Osano because its subject-rights module offered capabilities we couldn’t find with other consent management platforms (CMPs),” Caitlyn says.

“Automating and simplifying DSARs was a game-changer for us. Even as our business needs and roadmap have changed, we’ve remained committed to Osano because the platform continues to deliver the reliability and comprehensive features we need to stay compliant and efficient.”

With DSAR automation, Caitlyn was able to put those mini-fire drills behind her. Plus, Osano’s cookie consent management meant that Gear Patrol could compliantly and respectfully process user data within their ad-tech infrastructure.

And not only was she able to manage all of this compliantly, she could do so with confidence and less time. Osano’s proactive approach to informing users of regulatory updates and baked-in best practices meant Caitlyn no longer had to monitor every new statute just to feel confident in their privacy operations.

More Than Software—A Partner in Privacy

Some data privacy software vendors just hand you their documentation and wish you good luck—or worse, point you in the direction of expensive consultants. This was not the case with Gear Patrol’s implementation with Osano.

The process was collaborative and fast. Osano implementation team worked with Gear Patrol to tailor the solution to their ad-tech infrastructure. After the implementation, Osano continued to provide dedicated, personalized support.

“Osano feels like a true partner,” says Caitlyn. “Their technical support, consulting, and guidance are as valuable—if not more—than the tech itself.”

Tangible Impact on Daily Operations

Streamlined Workflows

It’s something that is in a place now where if I went on leave or if my role changed, I would feel confident handing this off to someone and saying, ‘OK, you can manage this.’

Between Osano’s automation, intuitive interface, and baked-in regulatory best practices, managing DSARs was a repeatable, scalable process that could grow with the business.

"It’s something that is in a place now where if I went on leave or if my role changed, I would feel confident handing this off to someone and saying, ‘OK, you can manage this.’"

Caitlyn used to be one of the only people responsible for handling DSARs. Now, she can hand the process to any teammate without stressing over whether they were managing rights requests compliantly.

Hours Reclaimed

"What used to take 15–20 minutes per request and be a mini-fire drill is now streamlined and manageable," says Caitlyn. Across monthly volumes, that’s hours of time and mental energy reinvested in strategic work.

Increased Confidence in Compliance

With compliance guardrails built into the platform design, plus access to regulatory updates and privacy team consultation, Osano helps keep Gear Patrol compliant.

"With Osano, I don’t need to stay on top of every new privacy law—Osano does it for me," says Caitlyn. As privacy laws evolve and regulators issue guidance, Caitlyn doesn’t have to worry whether Gear Patrol is sticking to the highest standard of transparency and privacy with users.

Elevated User Trust

Gear Patrol’s approach, supported by Osano, prioritizes giving users full control over their data, further building user confidence in their brand.

“With Osano, we can confidently give our users full control over their data, which is essential for building trust,” says Caitlyn. “Knowing that we’re offering transparency and respecting user privacy reinforces our commitment to a user-first experience."

Now, Gear Patrol users can indicate their consent preferences, request data summaries or deletions, and so much more, ensuring they know their data is in good hands.

Why Osano Stands Out
